This Privacy Policy covers the trailconvoy.com website — mainly the contact form and the club signup at trailconvoy.com/start. We don't sell your data. We only keep what we need to reply to you or to set up and deploy your club's site. The TrailConvoy product has its own privacy policy that you'll receive when your club is onboarded.
1. Who this covers
This Privacy Policy describes how Trail Convoy, LLC ("TrailConvoy," "we," "us," or "our") handles information collected through the trailconvoy.com website (the "Site"). Privacy practices for the TrailConvoy product (the club management application) are covered in a separate product privacy policy that you'll review during onboarding.
2. What we collect
Information you give us through forms. When you fill out the contact form, you provide your first and last name, email address, and (optionally) your club name and a message. When you start a club at trailconvoy.com/start, you provide your first and last name, email address, club name, state, your chosen club web address, and your signature on the Service Agreement.
Email and other correspondence. If you email us or otherwise reach out, we keep that correspondence and anything you include in it.
Basic technical data. Like most websites, the Site automatically logs standard technical information when you visit — for example IP address, browser, device, pages viewed, and timestamps. We use this to keep the Site running, prevent abuse, and understand how the Site is used.
3. How we use it
We use information submitted through the Site for a narrow set of purposes:
- To reply to you and answer your questions.
- To onboard your club — including setting up, configuring, and deploying your club's site on the TrailConvoy platform.
- To keep the Site secure, prevent abuse, and operate it reliably.
We don't use the information you submit through this website for advertising, profiling, or marketing to unrelated third parties.
4. What we don't do
We don't sell your data. Ever. We don't rent it, trade it, or share it with data brokers or advertisers.
We don't store information from this Site beyond what we need for the purposes above.
5. Who we share with
We share information only with vendors we need to operate the Site and respond to you — for example our web host, email delivery provider, and analytics provider. These vendors are only permitted to process information on our behalf to perform their service.
We may also disclose information if we reasonably believe it's necessary to comply with the law, enforce these terms, or protect the rights, property, or safety of TrailConvoy or others.
6. Cookies and analytics
The Site uses cookies and similar technologies for basic functionality and for aggregate analytics — we use Umami and Google Analytics to understand which pages are visited and how the Site is performing. You can control cookies through your browser settings.
7. Retention
We keep information submitted through the Site only as long as we need it for the purposes described above. Form submissions and email correspondence are kept while we're actively working with you and for a reasonable period after, then deleted. Standard server logs roll over on a typical retention schedule.
8. Security
We use reasonable administrative and technical safeguards to protect information. No system is perfectly secure, and we can't guarantee absolute security.
9. Your choices
You can ask us to access, correct, or delete information you've submitted through the Site by emailing us. We may keep limited records when we need to for legal or security reasons.
10. Children
The Site isn't directed to children. If you believe a child has submitted information to us, contact us and we'll delete it.
11. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the current version.
